Clerical procedures and write-protection
- 3 things to know
- AS Unit 1
Overview
Standard clerical procedures in the context of data security, separation of duties and batch total.
What you need to know
Answer each one before you reveal it.
Why is staff training treated as a security measure?
What does a clear desk rule achieve?
Questions from this subtopic
Each one with the model answer underneath.
- 1
What are standard clerical procedures in the context of data security?
Model answer
They are the written working rules staff must follow when handling data, covering how documents are checked, authorised, stored, transported and destroyed.
- 2
Why are clerical procedures as important as technical measures?
Model answer
Most incidents involve people rather than defeated technology, so rules that govern how staff actually handle data close the gap that firewalls and passwords cannot reach.
- 3
Give three examples of clerical procedures that protect data.
Model answer
Requiring a signature to authorise a change, logging media in and out of a secure store, and shredding printed personal data rather than binning it.
- 4
What is separation of duties, and what does it prevent?
Model answer
It splits a sensitive process so that no one person completes it alone, for example one person enters a payment and another approves it, which prevents a single individual committing fraud unnoticed.
- 5
What is a batch total, and how is it used as a control?
Model answer
It is a total calculated from the source documents before entry, such as the sum of all the amounts, which is compared with the total the computer produces so that a missing or mistyped item is detected.
- 6
What is a hash total?
Model answer
It is a total of a field that has no meaning as a sum, such as adding all the account numbers, used solely to check that every record was entered and none altered.

What is inside Levo
Six ways to work the same material.
Every question in Data Security and Integrity, on a schedule.
Attempt a question from memory, write the correct version, then attempt it again. Levo records the jump between your first attempt and your last, and brings each question back on the day you are due to forget it.
