Archiving data
- 3 things to know
- AS Unit 1
Overview
Data archiving, archiving and backup by their purpose and retention period.
What you need to know
Answer each one before you reveal it.
What is data archiving?
How does archiving improve the performance of a live system?
Questions from this subtopic
Each one with the model answer underneath.
- 1
What is data archiving?
Model answer
Data archiving is the transfer of data no longer needed from day to day onto separate long-term storage, from which it can be retrieved if it is ever required again.
- 2
Give three reasons an organisation archives data.
Model answer
An organisation archives data to satisfy legal retention requirements, to free space and keep the live system fast, and to keep historical records available for later analysis.
- 3
How does archiving improve the performance of a live system?
Model answer
Removing old records reduces the volume the live system has to search, index and back up, so queries return faster and routine housekeeping takes less time.
- 4
Distinguish between archiving and backup by their purpose.
Model answer
One moves data out of the live system for long-term keeping and usually deletes the original, while the other copies data that is still in use so it can be restored after a loss.
- 5
What is a retention period?
Model answer
A retention period is the length of time a type of record must be kept before it may be destroyed, and it is usually set by law or by the organisation's own policy.
- 6
Why should archived data be catalogued?
Model answer
Archived data has no value if it cannot be found, so a catalogue records what each archive holds and where it is stored, allowing a particular record to be retrieved.

Six ways to work the same material.
Every question in Implementation and System Security, on a schedule.
Attempt a question from memory, write the correct version, then attempt it again. Levo records the jump between your first attempt and your last, and brings each question back on the day you are due to forget it.
